01 · SIL rostering

A 1:3 shift is three funded lines, not one.

Drag-and-drop week and month views, grouped by worker, participant or house. Ratio rostering apportions the cost across the residents’ plans as you move the shift, using largest-remainder rounding so the split adds back to the cent.

02 · Conflict detection

Fourteen checks, before the shift is saved.

Warnings are recorded against the shift and let you continue — a short break, an unusual fortnight. A lapsed NDIS Worker Screening Check is not a warning. The shift cannot be saved at all, and the reason is on screen with the date.

What the screen does: runs every check against the worker, the participant, the plan and the award, then names the ones that failed individually rather than refusing with a single unhelpful error.

03 · The worker app

Support workers get one screen, not a portal.

One tap to clock in. Shift tasks, case notes with voice dictation, and this week’s hours. No admin screens, no settings, nothing to train anyone on. It installs from the browser — there is no app store to get through.

What the screen does: the timesheet is built from the clock record against the rostered shift. Nobody transcribes hours at the end of a fortnight, so the roster and the timesheet cannot drift apart.

04 · Evidence

Proof a shift happened, without policing anyone.

Clock-in records location as evidence, with the accuracy radius of the reading alongside it. Out of range is flagged amber for a manager to look at — never red, and never used to withhold pay.

Why amber: support happens in the community. A worker at the library with a participant is doing their job, not falsifying a timesheet. The colour is the argument.

05 · Claims and exports

The rejection you never have to decode.

A date-effective price book, penalty windows segmented per shift, bulk invoice generation, and the NDIA bulk payment request file. Every line is checked against the plan and the price book before the file is written.

06 · The record

Who changed that, and when.

Incidents carry reportable classification and the notification clock. Medication is administered against an eMAR. Documents warn before they expire. Behind all of it, an append-only audit log.

Append-only means append-only: nothing in that table can be edited or deleted, including by an owner and including by us. An audit trail that its own administrator can rewrite is not evidence, and the NDIS Quality and Safeguards Commission knows the difference.

Questions

The things providers actually ask.

Including the ones where the answer is no.

Do we have to move everything across on day one?

No. Most providers start with one house or one team, run it alongside their spreadsheet for a fortnight, then move the rest. Participants, workers and the price book import from CSV.

We already use Xero. Does this replace it?

No, and it should not. Nexrosta produces the invoices and pushes them to Xero, MYOB or QuickBooks as a sales import. Your accountant keeps working the way they already do.

Is this a payroll system?

No. Nexrosta produces approved timesheets with SCHADS penalty windows already segmented, which is what your payroll needs as input. It does not calculate PAYG, super or leave accrual, and it does not pay anyone.

What happens when we outgrow 5 users?

You pay for the sixth seat onward. Nothing is withheld from the free tier in the meantime — every module is included, and participant and family portal accounts never count toward your seats.

Where does participant data live?

In Australia. Support notes, incident records and participant details are subject to the Privacy Act and the NDIS Practice Standards, and they do not leave the country.

Can we get our data out?

At any time, without asking us. Every register exports to CSV, claims export in the NDIA bulk payment request format, and invoices export to Xero, MYOB and QuickBooks.
